Under the direction of the Professional Support Manager, this role supports the branch team in delivering leading client experience, from greeting clients to supporting strong operational support contributing to the effective and efficient operation of the business.

Key Accountabilities

Business Delivery and Operational Effectiveness

 Warmly welcomes and triage clients as they enter the branch

 Manages all incoming calls in a timely, professional and courteous manner

 Prepares and dispatches outgoing mail, interfaces with selected couriers to ensure packages have been delivered within established timeframes

 Ensures the proper maintenance and operation of all Branch Equipment (i.e. fax machines, printers, phones), including training on office equipment, as required

 Co-ordinates and manages bookings of Branch Events/Meetings

 Co-ordinates all moves including movers, packaging, voice communications and IT

 Co-ordinates all premise access requests

 Prepares and distributes standard client correspondence, such as new client welcome letters and distribution of tax receipts (no accounting skills required)

 Sorting and internal mail distribution, such as Trust bill payment for Encircle Client

 Ensures all branch pamphlets are up to date and available

 Prepares welcome packages for the Investment Management line of business

Risk Management & Controls

 Ensure all relevant compliance regulations are adhered to.

 Ensure proper adherence to all aspects of First Principles, Our Code of Conduct and Ethics.

 Follow security and safeguarding procedures and apply appropriate due diligence for the prevention of loss due to fraud, counterfeiting, money laundering or defalcation in accordance with Bank policy.

 On-going review of internal branch processes with a focus on continued improvement.

Knowledge and Skills

Projects a professional presence, proactively assisting branch staff & visiting clients

 Experience using a very busy switchboard required

 Computer literate, typing skills required

 Working knowledge of Microsoft Office would be an asset

 Professional telephone manner

 Excellent organizational, interpersonal, written and verbal skills in French and in English

 Basic knowledge of business operations and Banking industry

 Learns quickly and is motivated to apply new knowledge

 Ability to work both independently and well as part of a team

 Ability to deal with confidential materials in an appropriate manner

 Commitment to excellence in client service


 Minimum High School Diploma

 Previous experience working for another financial service firm or similar office environment
